Managing Report Subscriptions¶
Reporting Tool supports subscribing to reports generated by report schedules, and one subscription can send reports generated by one or multiple schedules to designated recipients by email. With Reporting Tool, you can manage report subscriptions in a unified list, including to view, enable/disable, edit, and delete subscriptions.
Prerequisites¶
You need to be assigned the required asset permission and operation permission, and a menu group containing the Subscriptions menu. If not assigned, contact the application administrator.
Reporting Tool controls if users are authorized to access and manage a template and its related schedules and subscriptions by assigning report template permissions, so you need to be assigned the required template permissions. If not assigned, contact the template creator. For more information, see Template Permission Control Rules.
Creating a Report Subscription¶
Select Subscriptions from the left navigation pane.
Click New Subscription and enter the following information:
Subscription Name: Enter up to 20 characters as the subscription name.
Generation Method: If Manual Trigger is selected, an email is sent after you manually trigger the related schedule. If Scheduled is selected, the system will send an email after generating a report at the designated time.
Frequency: When Generation Method is set to Scheduled, select the frequency (Daily, Weekly, Monthly, Quarterly) and specific time for the emails to be sent.
Main Related Schedules: Select the report schedule to be related from the drop-down list. The subscription will send the report generated by the related schedule by email. Manually triggered subscriptions can only be related to one schedule, while scheduled subscriptions can be related to one or more schedules with the same frequency.
Note
The Main Related Schedules that you can select is decided by the Generation Method and Frequency of the subscription, that is, manually triggered subscriptions can only be related with manually triggered schedules, and scheduled subscriptions can only be related with scheduled schedules with the same frequency.
Merge to one Excel file: This option appears when all Main Related Schedules generated files specified are in Excel format. After checking, the files generated by all tasks will be combined into different Sheets in Excel. For more information, see Merge to one Excel file.
Email Subject: Enter the email subject. For subscriptions related with one main schedule, you can insert template parameters as variables into the email subject.
Sender Name: Enter the sender name of the email.
Email Content: The following options are supported.
Custom Input: Enter up to 200 characters as the email body. For subscriptions related with one main schedule, you can insert template parameters as variables into the email body.
Report Schedule: Select a report schedule from the drop-down list, and the reports generated by the schedule will be displayed in the email body. Only schedules in PDF format are supported.
Recipient: Click Add to select the email recipients. Internal Users are EnOS Application Portal users who have the permission to receive subscription emails. For External Users, you can enter emails addresses not registered in EnOS Application Portal, separating multiple email addresses by semicolons.
Click Save.
After the subscription is created, the specified recipients will receive emails when the related main schedule executes successfully. According to different Email Content configurations, the recipients can directly view reports in the email body, or click the link in the emails to view and download reports in the browser.
Viewing a Report Subscription¶
Select Subscriptions from the left navigation pane. The subscription list displays all report subscriptions that you have access to.
To locate a target subscription, select a specific subscription status, generation method, and creator/recipient in the filter box, or enter a specific subscription name in the search box.
View configuration details of the target subscription in the list, including subscription name, generation method, and recipients.
Click the schedule name in the Related Schedules column. The information of the related schedule is displayed in the pop-up window.
Click Schedule Name in the pop-up window to view the configuration details of the schedule. For more information about schedule configurations, see Viewing Report Schedules.
Enabling/Disabling a Report Subscription¶
Select Subscriptions from the left navigation pane. The subscription list displays all report subscriptions that you have access to.
To locate a target subscription, select a specific subscription status, generation method, and creator/recipient in the filter box, or enter a specific subscription name in the search box.
Switch on or off the Enable toggle of the target subscription to enable or disable the subscription.
Editing a Report Subscription¶
Select Subscriptions from the left navigation pane. The subscription list displays all report subscriptions that you have access to.
To locate a target subscription, select a specific subscription status, generation method, and creator/recipient in the filter box, or enter a specific subscription name in the search box.
Click Edit of the target subscription to modify the subscription configurations. For more information about subscription configurations, see Creating a Report Subscription.
Deleting a Report Subscription¶
Select Subscriptions from the left navigation pane. The subscription list displays all report subscriptions that you have access to.
To locate a target subscription, select a specific subscription status, generation method, and creator/recipient in the filter box, or enter a specific subscription name in the search box.
Click Delete of the target subscription. Deleted subscriptions cannot be restored.
